We get many questions throughout the year about the Association’s Refund Policy. There are different reasons you would need to cancel out of an event, the two most common reasons we see are various medical issues and gaining entry into a higher ranked event. Hopefully this post will help to clarify the difference between these two types of refunds.

Our full refund policy can be found on our website, but an important thing to remember is that refunds are given as a credit that would be applied to a future event. If you have already registered for the tournaments you plan on playing in that season, your credit does carry over to the next year. Once you have become a member, your credit from the previous year automatically carries over.

If you cancel out of an event BEFORE the registration deadline, each tournament has a registration deadline posted on the tournament information page, you will receive a credit, minus a 15 percent administrative fee. You will be able to use this credit to register for another event.

If you cancel out of an event AFTER the registration deadline, this is when you would need to fill out the tournament refund request form. There is no automatic refund if you cancel after a tournament registration deadline, you MUST fill out the form for the possibility of a refund.

The most common reason we see cancelations after a registration deadline is due to a medical reason. The forms that are processed the fastest are the ones that have a doctor’s note attached. A tournament refund request that has been submitted without a doctor’s note or for another reason typically goes to the committee at the end of the season and a refund amount is determined and you are notified. Refund requests AFTER the registration deadline are still subject to the 15 percent administrative fee.

There is ONE exception to the 15 percent administrative fee. Those individuals who have qualified for a higher ranked event will receive a full credit out of the IJGA/MAJGT event that overlaps the tournament dates of the higher ranked event. Specific examples of this in 2019 are:

  • April 26-28: AJGA Preview at Thunderhawk goes up against the MAJGT Golf Club of Illinois Open
  • May 3-5: AJGA Preview at Meadowbrook goes up against the IJGA Players Challenge #1 at Countryside
  • June 17-20: Western Junior goes up against MAJGT Lake Geneva Classic
  • June 17-20: Women’s Wester Junior goes up against MAJGT Lake Geneva Classic
  • July 1-4: AJGA Circle K Junior Championship hosted at Otter Creek – Qualifier is June 30 goes up against MAJGT Kenosha Classic and IJGA Players Challenge #4 at Cog Hill
  • July 1-4: Coca-Cola Junior Championship at Boyne Highlands – Qualifier is July 1 goes up against IJGA Players Challenge #4 at Cog Hill
  • July 8-11: D.A. Points Junior Championship sponsored by Pekin Insurance and Unity Point Health – Qualifier is July 7 goes up against MAJGT Lick Creek Classic/Summer Junior Elite #3 at Deerfield/MAJGT Preserve at Oak Meadows Classic
  • July 9-12: WinCraft/McArthur Towel & Sports Future Legends – Qualifier is July 8 goes up against Summer Junior Elite #3 at Deerfield and MAJGT Preserve at Oak Meadows Classic
  • July 16-18: Illinois State Amateur goes up against MAJGT Elgin Junior Golf Classic and IJGA-CDGA Junior Amateur
  • July 29-August 1: AJGA Junior at Knollwood presented by Yoder Oil – Qualifier is July 28 goes up against MAJGT Swan Lake Classic/IJGA Players Challenge #5 at Bartlett Hills/MAJGT Twin Cities Classic

For example, if you were registered for the MAJGT Golf Club of Illinois Open and were selected as a member of the field for the AJGA Preview at Thunderhawk, you would call our office to tell us you had qualified into a higher ranked event. You MUST call the office to receive the FULL credit, if you do not call us, and cancel out of the event yourself, there is no way for us to know that you should have gotten the full credit.

There are also higher ranked events within the Association. If you have registered for an 18-hole event, and wish to play in a multi-day event happening on the same day, that would also qualify you for a FULL credit. Again, you must call the office to receive the full credit.
